Appointment invitations that don't arrive

You've invited people to an appointment, but they say they haven't received anything. Your WebOké Nextcloud sends the invitation by e-mail the moment you save the appointment. If that goes wrong, it's almost always one of the points below.

Check these five things first

  1. Is your own e-mail address in your profile? Your Nextcloud lists you as the organiser in the invitation, using the e-mail address from your profile. Without an e-mail address, no invitation can go out. Check under Settings, Profile & contact (see Filling in your profile: name, photo, email address, language and time zone).
  2. Is it your own calendar? Create the appointment in a calendar of your own. In a calendar that someone else shared with you, that other person is the owner, and invitations don't always work as you'd expect.
  3. Is the appointment in the future? No invitations are sent for appointments in the past.
  4. Is the attendee's e-mail address correct? Open the appointment, go to Attendees and check that the address is spelled correctly. For a colleague from your own Nextcloud, your Nextcloud uses the e-mail address from their profile; if that's empty, the colleague will still get the appointment in their calendar, but no e-mail.
  5. Have you saved? The invitation is only sent once you click Save or Update. Just adding an attendee isn't enough.

Check where you create the appointment

Ideally, create appointments with attendees in your browser, in the Calendar app of your WebOké Nextcloud (see Inviting people to an appointment). Your Nextcloud then sends the invitation. If you create the appointment in a program on your computer or phone, it depends on that program:

Where do you create the appointment?Who sends the invitation?
Calendar in the browserYour WebOké Nextcloud
iPhone, iPad or Mac with your Nextcloud calendar (CalDAV)Usually your Nextcloud, after the phone has passed on the appointment
ThunderbirdThunderbird can send the invitation itself via your own mailbox; you'll then see a prompt asking whether to send the invitation
Outlook with CalDav SynchronizerOutlook itself, via your own mail account, or your Nextcloud after synchronising, depending on the settings

Not sure? Test it: invite yourself using another e-mail address and check whether the invitation arrives.

The invitation was sent, but doesn't arrive

  • Ask the recipient to check the Spam or Junk folder, or under Promotions in Gmail.
  • Some companies only let through invitations with a calendar file (.ics) after a delay, or block them altogether. In that case, also send the time and location in an ordinary e-mail.
  • Changing an appointment sends a new version of the invitation. If you make changes very often, a recipient may start marking your e-mails as unwanted.

Still not working?

Get in touch with WebOké (see How to report a problem to WebOké). Mention the title and date of the appointment, the time you saved it, and the e-mail address of the attendee who didn't receive anything. We can then check the logs to see whether the e-mail was sent.
